Welcome to Salomons Estate. These Terms and Conditions outline the rules and regulations for booking and using our venue facilities. By proceeding with a booking, you acknowledge that you have read, understood, and agree to be bound by these Terms.

1. Introduction

These Terms and Conditions ("Terms") govern your use of Salomons Estate facilities and services. By making a booking or using our services, you agree to be bound by these Terms.

Please read these Terms carefully before making a booking. If you do not agree with these Terms, please do not use our services.

2. Definitions

• 'Venue' refers to Salomons Estate and its facilities

• 'Client' or 'You' refers to the person or organisation making a booking

• 'Event' refers to any function, wedding, conference, or gathering booked at the Venue

• 'Booking' refers to your confirmed reservation

• 'Deposit' refers to the initial payment required to secure your booking

3. Bookings and Confirmations

3.1. All bookings are subject to availability and confirmation by Salomons Estate.

3.2. A booking becomes binding once:

• You have received written confirmation from us

• The required deposit has been paid

• These Terms have been accepted

3.3. Provisional bookings will be held for 14 days, after which they may be released.

3.4. We reserve the right to decline any booking at our discretion.

4. Payment Terms

4.1. A non-refundable deposit of 25% is required to secure your booking.

4.2. Payment schedule:

• 25% deposit upon booking

• 50% due 6 months before the event

• Final balance due 4 weeks before the event

4.3. Failure to meet payment deadlines may result in cancellation of your booking.

4.4. All prices are in GBP and include VAT at the current rate.

4.5. We accept payment by bank transfer, credit/debit card, or cheque.

5. Cancellations and Refunds

5.1. Cancellations must be made in writing.

5.2. Cancellation fees:

• More than 12 months before: Deposit forfeited

• 6-12 months before: 50% of total booking fee

• 3-6 months before: 75% of total booking fee

• Less than 3 months before: 100% of total booking fee

5.3. We strongly recommend you arrange cancellation insurance.

5.4. If we cancel your event due to circumstances beyond our control, we will refund all payments minus any unrecoverable costs.

6. Guest Numbers

6.1. Final guest numbers must be confirmed 2 weeks before your event.

6.2. You will be charged for the confirmed number or actual attendance, whichever is greater.

6.3. Guest numbers cannot be reduced below the minimum stated in your booking confirmation.

6.4. Maximum capacity must not be exceeded for safety and licensing reasons.

7. Venue Access and Timings

7.1. Access times will be agreed in advance and must be adhered to.

7.2. Events must conclude by the time specified in your booking.

7.3. Overtime charges apply if your event runs beyond the agreed time.

7.4. We reserve the right to end any event that runs significantly over time.

8. Food, Beverage, and Catering

8.1. All food and beverage must be provided by Salomons Estate or approved suppliers.

8.2. No outside catering or beverages are permitted without prior written approval.

8.3. Menu selections must be finalised 6 weeks before your event.

8.4. We cater for dietary requirements with advance notice.

8.5. All beverages are subject to our licensing conditions.

9. Damage and Conduct

9.1. You are responsible for the behaviour of all guests attending your event.

9.2. Any damage to the Venue, fixtures, or equipment will be charged to you.

9.3. We reserve the right to refuse service or remove any person whose behaviour is deemed inappropriate.

9.4. Smoking is only permitted in designated outdoor areas.

9.5. Illegal substances are strictly prohibited.

10. Decorations and Suppliers

10.1. All decorations and external suppliers must be approved in advance.

10.2. No fixing of decorations to walls, ceilings, or listed features without permission.

10.3. Naked flames, confetti, and fireworks require prior approval.

10.4. You must ensure all suppliers have adequate insurance.

10.5. All decorations must be removed by the agreed time.

11. Insurance and Liability

11.1. We maintain public liability insurance for the Venue.

11.2. We are not liable for loss or damage to personal property brought onto the premises.

11.3. We recommend you arrange event insurance to cover cancellations, accidents, and damage.

11.4. Our liability is limited to the total amount paid for your booking.

12. Photography and Publicity

12.1. We may take photographs of your event for marketing purposes.

12.2. If you do not wish your event to be photographed, please inform us in writing.

12.3. We reserve the right to use images on our website and social media.

13. Force Majeure

13.1. We are not liable for failure to perform due to circumstances beyond our control, including:

• Acts of God (extreme weather, floods, earthquakes)

• War, terrorism, or civil unrest

• Government restrictions or lockdowns

• Utility failures

• Pandemics or disease outbreaks

13.2. In such cases, we will work with you to reschedule or provide alternatives.

14. Data Protection

14.1. We process your personal data in accordance with our Privacy Policy.

14.2. By making a booking, you consent to us processing your data for the purposes of providing our services.

15. Complaints Procedure

15.1. If you have a complaint, please notify us immediately so we can address it.

15.2. Formal complaints should be made in writing within 7 days of your event.

15.3. We will investigate and respond within 14 days.

16. Changes to Terms

16.1. We reserve the right to amend these Terms at any time.

16.2. Changes will not affect bookings already confirmed.

16.3. The latest Terms are always available on our website.

17. Governing Law

17.1. These Terms are governed by the laws of England and Wales.

17.2. Any disputes will be subject to the exclusive jurisdiction of the English courts.

Acceptance of Terms

By making a booking with Salomons Estate, you confirm that you have read and understood these Terms and Conditions and agree to be bound by them. If you are making a booking on behalf of an organisation, you confirm that you have the authority to bind that organisation to these Terms.
